Purpose:

The Receptionist, as part of the Operations Department and Support Staff, is responsible for greeting all guests and members of the Union, answering and directing all phone calls, and supporting staff and organization as needed.  This position works with the Facilities/Support Manager.

Location: Chicago, IL

Duties and Responsibilities:

  • Greet and sign in all members and guests; including offering assistance as needed or directed to assure visitors needs are met.
  • Back up Department Assistant Liaison as needed.
  • Maintain conference room reservations; including the set up and maintenance of the areas for meetings and gatherings.
  • Daily coffee preparation and kitchen maintenance for order and cleanliness.
  • Sort and distribute mail daily.
  • Prepare overnight mailings, deliveries, and messenger services as needed.
  • Support Operations department in filing, reports, scanning, copying, and mailings.
  • Update database for return mail on a daily basis.
  • Order supplies and maintain supply inventory as needed.
  • Back up travel coordinator as needed.
  • Prepare logistics for special events as needed.
  • Special Projects as assigned.

Scope and Nature of Supervision:

The Receptionist reports to the Facilities/Support Manager and other staff, as needed, providing support to all departments within the organization.

  • Balance conflicting demands successfully
  • Complete assignments as directed on a timely and efficient manner
  • Carry out assigned responsibilities in a competent and professional manner in keeping with the Local's overall goals and expectations

Working Conditions:

The Receptionist works indoors in a controlled environment at a desk.  Ability to pick up to 25-30 pounds is required.

Other Expectations:

Work and use office equipment; including copiers, printers, projectors, and reception area and meeting room phone and A/V equipment. Ability to utilize and advance in Microsoft Office products such as Outlook, Excel, and SharePoint.

Key Qualification Criteria:

  • Two to three years of experience in reception or administrative role
  • Have the ability to interact effectively as a member of a team and work collaboratively with other departments
  • Be able to maintain several project timelines concurrently and bring all to a successful close and work without close supervision and to set one's own priorities.
  • Excellent verbal and written communication skills.
  • Basic Microsoft Office Applications including Outlook email functions and create forms in Excel and Word
  • The ability to adapt with grace to a fast-paced office environment, and fulfill any requirements.
  • Some union experience is preferred
  • Bilingual English/Spanish is required

Salary and Benefits:

This is an hourly paid position. Compensation is competitive and commensurate with experience. Union-paid benefits included.
