Description

The Helen Miller Member Education and Training Center is an educational organization providing education and training to workers represented by members of Service Employees International Union Healthcare IL/IN/MO/KS (SEIU HCIIMK), a dynamic, action-oriented union of over 95,000 healthcare and childcare workers. As a wholly owned subsidiary of SEIU HCIIMK, the Helen Miller METC seeks to provide high quality curriculum on a popular education model to low-wage workers to enhance their on-the-job experience and support their development. The METC is a 501(c)3 organization.


Purpose:

The METC Department Administrative Liaison’s primary responsibility is to provide professional and administrative support to the Executive Director and other METC staff as assigned. They serve as a key communications link for the department and represent the Executive Director (ED) in the implementation and administration of department projects. This position reports to the ED.

Duties and Responsibilities:

ADMINISTRATIVE

· Assist Executive Director on various reporting, logistical, and administrative functions;

· Organize and effectively manage time with minimum supervision;

· Make assessments and recommendations to METC managers and leadership team on procedural issues and keep Executive Director included on all such matters;

· Manage the administrative aspects of the department, including, but not limited to, team and program calendars; meetings; training; reporting; travel; check requests and record-keeping;

· Plan and assist with all aspects of meetings, including arranging logistics, taking notes, and distributing minutes and follow-up actions to appropriate individuals/entities;

· Assist in preparation of and coordination of departmental reporting as assigned;

· Create, update and maintain electronic files, forms, contracts and correspondence for the department and the ED in accordance with METC policies and program compliance;

· Submit facility, equipment and overall department maintenance and service requests;

DEPARTMENT BUDGET

· Assist in tracking and reconciling budgets for department activities, projects and events;

· Plan events assigned to the METC, as well as creation of event budgets;

ORGANIZATIONAL

· Understand and enforce organizational policies and procedures;

· Demonstrate support of a collaborative culture;

· Communicate for the department, within and between METC and the union;

· Work in support of a program that sometimes requires long and/or irregular schedule

 

Qualifications:

· Minimum two (2) years’ experience in a non-profit or community-based organization, and equivalent years of experience in administrative and operational activities

· Bachelor’s Degree or demonstrated expertise in administrative and operational skills

· Demonstrated interest and commitment to social justice

· Can set a team standard of collegiality and diplomacy, fosters a team environment

· Displays excellent work ethic and operates within accountability standards

· Demonstrated ability to effectively work with a culturally diverse team

· Ability to work independently, think creatively, manage own time, and take initiative

· Experience maintaining confidentiality on sensitive issues regarding staff and organization

· Sound time and project management skills to manage and prioritize work subject to deadlines in a dynamic and changing environment, as an individual and as a team member

· Effective writing skills including the ability to synthesize information into clear, concise messages both for analytical reports and executive summaries

· Exceptional verbal communication including the ability to relate well with others and ability to adapt style to varied audiences

· Intermediate to advanced knowledge of Microsoft Office, including Outlook, Word, Excel, and internet

· Ability to learn and adapt to new and on-going changes in technology;


Preferred Experience:

Bilingual English/Spanish is a plus.
