Description

The Helen Miller Member Education and Training Center (METC) is an educational organization providing education and training to workers represented by members of Service Employees International Union Healthcare Illinois /Indiana/Missouri/Kansas (SEIU HCIIMK), a dynamic, action-oriented union of over 95,000 healthcare and child care workers throughout those four states. As a wholly owned subsidiary of SEIU HCIIMK, the Helen Miller METC seeks to provide high quality curriculum on a popular education model to thousands of low-wage workers to enhance their on-the-job experience and support their career development. The METC is a 501(c)3 organization.

Purpose:
METC is committed to ensuring access to training opportunities for Public and Private Homecare workers, Childcare Providers and other Healthcare workers that are represented by our Local. The METC runs specific training programs that are governed by collectively bargained agreements and/or other contracts.

The Program Assistant will assist with the organizing and coordinating of educational, administrative and operational activities to ensure a high quality METC Training Program that meets training goals and ensures a good experience for attendees. Activities are listed below in more detail but include scheduling classes, coordinating class logistics, tracking class activity, doing outreach and communicating to eligible workers, scheduling and communicating with program Instructors and Member Facilitators, assisting with the development, procurement, and/or updating of quality training curriculum, completing and/or ensuring accurate data entry, compliance with program requirements and accounting standards and coordinating training with the appropriate SEIU HCIIMK Organizing Division and Division Director.

Duties and Responsibilities:

  • Coordinate class scheduling including assignment of class topic, confirmation of venues and/or digital class set-up and logistical needs, scheduling instructors and facilitators;
  • Coordinate training and scheduling with a Division Director and/or Organizing Division team to support SEIU HCIIMK goals;
  • Coordinate and implement outreach and marketing of classes to ensure full enrollment as outlined in program goals;
  • Monitor and assist with class enrollment;
  • Track class attendance, prepare attendance reports and coordinate reporting;
  • Ensure that instructional materials, equipment, sign in lists and other items necessary to deliver the class, whether electronic or hard copy, are available and delivered in a timely manner prior to any particular class;
  • Assist with the coordination of administrative, clerical, communications, mailing, emailing, social media communications, filing, copying, ordering supplies and equipment purchase/maintenance services in accordance with the training budget;
  • Obtain and maintain supporting documentation necessary for program compliance and accounting recordkeeping;
  • Maintain and update METC files using various database and spreadsheet programs;
  • Answer routine telephone communications to and from attendees and interested workers;
  • Assist with preparing reports on individual instructor and student performance, and other reports as requested by the Deputy Director and/or other Directors or Managers;
  • Assist and support the Deputy Director and/or other Directors or Managers as well as relevant SEIU HCIIMK Division Directors or staff in a variety of projects and detailed matters related to METC programs;
  • Assist with the development, procurement, and/or updating of relevant program class curriculum in consultation with the Deputy Director or other Managers that is in alignment with METC’s labor-based, worker centered popular education philosophy, and meets standards recognized by organizations METC is a member of or aligned with, such as HCAP (Health Careers Advancement Program), PHI, or other recognized and philosophically aligned worker and labor-based educational entities, or entities whose certification is needed to approve curriculum used by the METC;
  • Coordinate and generate mass mailings, email and participant correspondence;
  • Assist with vendor and consultant communication;
  • Maintain class and events calendar for the program(s);
  • Maintain and update database of students and other databases as needed;
  • Support training for instructors, facilitators and others in coordination with the Instructor Manager;
  • Ability to maintain a standard of collegiality and diplomacy, help to foster a team environment, display excellent work ethic and a mature understanding of racial justice and cultural diversity, and operate within accountability standards;
  • Other duties as assigned.

Scope and Nature of Supervision:

The METC Program Assistant must be able to organize their time, make independent decisions that support organizational goals, and develop and carry out plans with minimum supervision. They must also be able to receive direction from their immediate supervisor and other supervisory staff. Must be able to work well with other members of the METC team.

 

Criteria for Evaluation:

  • Strength of Experience.
  • Strength of written and verbal communication skills.
  • Knowledge of key program areas especially worker training requirements.
  • Well organized with ability to balance conflicting demands successfully.
  • Ability to demonstrate experience carrying out assigned responsibilities in a competent and professional manner in keeping with the Program’s overall goals and expectations.

    Working Conditions:
    METC Program Assistants may be required to work long and irregular hours, and to work on weekends and holidays when     necessary to ensure training offerings meet the needs of our workers.

    Other Expectations:
    All staff are expected to respect the processes of the organization and encouraged to work within the framework of the     organization to resolve internal disputes and issues.

  • Strong commitment to social justice and the dignity of workers.
  • Ability to work in a multicultural and diverse work environment.
  • Bachelor’s Degree (B.A. / B.S.) or equivalent relevant program experience.
  • Ability to work independently, think creatively, manage own time, and take initiative
  • Minimum one year in a non-profit or labor setting.
  • Sound organizational skills to manage and prioritize work subject to deadlines in a dynamic and changing environment, as an individual and as a member of a team.
  • Experience working on data entry, data base programs and spreadsheets especially Microsoft Office Suite including Outlook, Word, Excel, Access; UnionWare and Internet services and ability to learn new software.
  • Ability to adapt and learn new skills.
  • Knowledge of Illinois Department of Human Services/Office of Rehabilitation Services Home Services Program; Illinois Department of Human Services Child Care Assistance Program; and other applicable state or local programs under which SEIU HCIIMK members are organized.
