Department Administrative Liaison

Role Purpose
The Member Resource Center Administrative Liaison will be a member of the Member Resource Center (MRC) Team under the direction of the MRC Director and will provide professional and administrative support to the Director and oversee activities of the department assigned. This person will assist in managing projects, offering essential administrative and critical support in Union compliance as it related to the MRC.

Duties and Responsibilities:
· Monitoring, maintaining, and assisting with Union Legal and Representation compliance as it relates to the MRC.
· Planning and assisting in meeting facilitation through the formation of agendas and other logistics.
· Coordinating resources and tools to ensure the success of meetings.
· Managing memos, meeting minutes, and correspondence.
· Maintaining & assisting in calendar scheduling and time off for the MRC department.
· Ability to set up video conferencing meetings & associated tools within platforms, such as Zoom. Microsoft Teams, etc.
· Support managing the director’s schedule, credit card reporting, meeting preparations, follow-up tasks, and travel arrangements & events.
· Assist individual team members with supplies, mailing & distribution needs, arbitration filings, and meeting support.
· Liaison between the department and other departments including HR for members assigned to the department either as interns or for lost time work.
· Ability to manage the Intranet platform on SharePoint.
· Administration, organization, and content publishing for MRC.
· Develop and maintain constructive and cooperative working relationships by encouraging and building mutual trust, respect, and cooperation within working groups and teams.
· Support collaborative union culture through exemplifying the Local’s Mission, Vision, Values, and Leadership Practices.
· Understand cross-local policies, procedures, and enforcement.
· Communicating with individuals outside the Organization, representing the organization to members, partners, the public, government, and other external sources on behalf of executives.
· Organizing, planning, and prioritizing work and developing specific goals and plans to prioritize, organize, and accomplish work in a fast-paced environment.
· Coordinate and track cross-functional projects and initiatives, ensuring timelines, deliverables, and communication are effectively managed between departments and leadership.
· Prepared to work sometimes long and irregular schedules, as needed.

Working Conditions:
The MRC Administrative Liaison is expected to be available during the regular work week but may be required to work long and irregular hours, with notice, including on weekends and holidays when needed. This is a hybrid position, so there are some formal remote workdays, but flexibility is needed to support the needs of the department. Ability to sit, stand, kneel, bend and walk for extended amount of time and pick up to 25-30 pounds is required.

· Bachelor’s Degree (B.A. / B.S.) or equivalent administrative and operational experience.

· Minimum 2 years of experience in a non-profit setting, and equivalent experience in administrative and operational activities.
· Sound organizational skills to manage and prioritize work subject to deadlines in a dynamic and changing environment, as an individual and as a member of a team.
· Effective writing skills including the ability to synthesize information into clear, concise messages both for analytical reports and executive summaries.
· Exceptional verbal communication including the ability to relate well with others and ability to adapt style as needed to all levels of the organization.
· Intermediate to Advanced knowledge of Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, SharePoint, and Internet.
· Demonstrated ability to create spreadsheets for analysis and reports for presentations.
· Ability to learn and adapt to new and ongoing changes in technology.
· Specific department knowledge, and/or experience with HR policies, labor law, health and welfare benefits, and budget management are beneficial
· Bilingual English/Spanish is a plus.
Salary and Benefits:
Salary - $71,411 - $75,696. Salary/compensation is competitive and commensurate with experience; Company-paid benefits included.
